We are currently hiring a highly organized and detail-oriented customer officer to join our team. This role involves a diverse range of responsibilities, including order processing, customer service, and ensuring accurate shipment of goods.
Key Responsibilities
Order Processing
- Efficiently process incoming orders and ensure accurate administrative handling.
- Enter orders into ERP system, assign correct stock, and confirm accurate delivery dates to customers.
- Prepare advance invoices.
- Prepare warehouse shipments to fulfill orders and notify customers accordingly.
- Maintain order status and communicate with customers regarding deliveries.
- Handle return orders according to established procedures.
- Proactively communicate with customers regarding pending shipments due to credit shortages, before escalation to credit control.
- Track and follow up on warranty claims, liaising with customers and suppliers.
Customer Service
- Serve as the primary point of contact for customer inquiries regarding orders, billing, and general information.
- Handle customer requests and issues in a professional and friendly manner.
- Conduct outbound calls to customers for first deliveries or to provide additional information about featured products.
Documentation Management
- Archive relevant documents according to established procedures.
- Administer warranties, returns, and RMA processes.
Shipment Management
- Ensure accurate shipment of goods by coordinating with the warehouse team.
- Verify shipping details to guarantee timely and correct delivery to customers.
- Organize shipping with logistic partners.
Collaboration with Other Departments
- Collaborate effectively with other departments, such as sales to optimize workflow.
- Assist in resolving administrative challenges as they arise.
- Contribute ideas for process and flow improvements.
Job requirements
Qualifications
- Proven experience in administrative roles, preferably within a similar industry
- Strong organizational and time-management skills
- Excellent communication abilities, both written and verbal
- Proficiency in Microsoft Office and other relevant software
- Ability to adapt to changing priorities and work independently
